Important Details
Participant Waivers
All participants, teachers, staff, and chaperones must complete an electronic Participant Waiver at least two weeks before the first program. Paper waivers are available upon request, but customers are responsible for accurately entering that information into the digital waiver platform.
Supervision Requirements
Customer teachers, staff, and chaperones are responsible for participant supervision and behavior at all times. One chaperone is required for every 15 participants.
Scheduling Requirements
The program year runs during two instructional seasons: Fall (August 15 to December 15) and Spring (March 1 to June 15). To receive the Fall Field Trip Special Offer, two (2) Field Trips must be scheduled in the Fall. Failure to comply may result in reassigned dates, reduced availability, or forfeiture of unscheduled programs.
Weather & Unforeseen Events
Programs may be modified, postponed, or rescheduled due to weather, school closures, staffing limitations, public health events, or other safety concerns. Muddy Sneakers will make final decisions regarding safety and feasibility.
Cancellations & Rescheduling
Customer-initiated cancellations within one week of a scheduled program, or failure to attend, incur a $150 fee per program. The full fee remains due regardless of cancellations, and no refunds will be issued.
Payment & Enrollment
Payment is due in full by January 31, 2027. Fees are based on final enrollment numbers and are not contingent on attendance. Enrollment adjustments must be submitted by August 31, 2026, and may affect group size and number of program days.
Withdrawal
If a customer withdraws after signing the Agreement, a 10% administrative withdrawal fee applies based on the total partnership cost.
Program Materials
All Muddy Sneakers curriculum and program materials are proprietary and may not be copied, shared externally, or used outside the scope of the Agreement.
Evaluation & Data Use
Participants may be asked to participate in a brief field survey after each Program. Customers may be asked to complete a post-visit survey after each Program. Student responses will remain anonymous. Data may be shared with NC State University (third-party evaluator), academic partners, funders, and stakeholders.
Assumption of Risk
Outdoor programming involves inherent risks including uneven terrain, weather conditions, wildlife exposure, and physical activity. Participation acknowledges these risks and agreement to follow all safety guidance.
